Hosting a Koshland Seminar speaker

 

Hosting a speaker is a great opportunity to spend time with the lecturers we have invited and to learn more about their work.  A member of the Koshland committee will advise you about your responsibilities, which include scheduling the speaker's faculty meetings and lunch during the day, escorting the speaker to the first faculty appointment, introducing the speaker before his or her talk and chairing questions after the seminar, and organizing the student dinner after the seminar. 

 

Scheduling Faculty meetings during the day

 

Ask the speaker which faculty s/he would like to see. Refer to the MCB directory and any other departments they might be interested in (IB, Chemistry, Physics). Confirm appointment times with faculty members (30-45 minutes depending on time and number of faculty requests). Ask a faculty member (ONE!) to host lunch. Forward the lunch person an entertainment reimbursement form, though they often don't use it. If you need more meetings, ask Eileen Bell to forward a request to the faculty. Don't forget to send the schedule to the speaker a couple of days before, along with a campus map and directions on how to meet you before the first faculty appointment!

 

Seminar

 

Seminars this year are at 4:00pm, on Tuesdays, in 100 GPBB. An A/V person should be on hand to help set up the talk, but the set up is extremely simple and usually doesn't require much troubleshooting. You, or the last faculty member to meet with the speaker, should make sure that the speaker finds 100 GPBB around 3:45pm. Remind the speaker that seminars do usually start 10 minutes late here and try to prepare a 45 minute talk.  For your introduction you may want to ask the speaker for their CV before they come to campus.

 

Student dinner

 

Email class lists a week before to solicit students for dinner. Total of 6 students max, $64 per person for dinner. Alcohol will not be reimbursed.  Reservations are often a good idea. For reimbursement you will need to fill out the MCB entertainment reimbursement form. Give the form to a Koshland committee member to put in accounting info and get approval, or go to Eileen Bell in 299 LSA.

 

All other matters concerning the speaker's visit (travel, hotel, advertising, food for reception, scheduling of AV person) will be handled by the Koshland Committee. Relax and have fun!
